Everything You Need to Know Before Your First SIM Session

Find answers to common questions about session options, travel, scheduling, deposits, space requirements,
hosting a Session Day, and what to expect before booking.

Booking & Deposits

Deposits are required (Local)

Deposits are required for all SIM Session bookings, including both individual sessions and Session Days. No payment is required when submitting a Session Request. Once a Session Day has been confirmed, participants will receive a scheduling link to reserve a time frame. A 20% deposit is collected at the time of booking through that scheduling link. The remaining balance is due 7 days prior to the scheduled session. Deposits are fully refundable up to 7 days before the session. If you need to reschedule within 7 days of your appointment, we are happy to apply your deposit toward a future session.

Deposits are required for all SIM Session bookings, including both individual sessions and Session Days. No payment is required when submitting a Session Request. Once a Session Day has been confirmed, participants will receive a scheduling link to reserve a time frame. A 20% deposit is collected at the time of booking through that scheduling link. The remaining balance is due 30 days prior to the scheduled session. Deposits are fully refundable up to 30 days before the session. If you need to reschedule within 30 days of your appointment, we are happy to apply your deposit toward a future session.

What happens if weather, illness, or injury prevents me from attending my session?

Barn Session Days & Group Events

Because Session Days require advance planning, travel arrangements, and coordination among multiple participants, cancellations and rescheduling requests may affect the entire event. If severe weather, illness, injury, or another circumstance impacts a Session Day, we will work with the host and participants to determine the best path forward. Deposits and payments may be transferred to a future Session Day when rescheduling is necessary.

Regional Session Days

Many SIM Session Days are created by combining individual requests from the same area. If a single participant is unable to attend, the Session Day may still proceed as scheduled provided minimum participation requirements are met. If weather, illness, injury, or other unforeseen circumstances affect the overall viability of the Session Day, we will work with all participants to identify alternative arrangements.

Travel Costs

Travel expenses are included in Session Day planning and are shared across participating clients whenever possible. Because travel arrangements are often made well in advance, travel-related expenses that have already been incurred may not be refundable. If a Session Day must be rescheduled, any non-recoverable travel expenses may remain the responsibility of the participant(s) or host.

Scheduling

The Scheduling Process

Requesting a session is the first step. Submitting a request lets us know you’re interested in bringing SIM Sessions to your area, whether as a barn host or as an individual participant.

For Barn Session Days, we coordinate with available practitioners and the host’s schedule to identify a date that works for everyone. Once the Session Day is confirmed, the host will receive a scheduling link to share with participants.

Typical time frames may include:

10:00 AM – 11:15 PM
11:15 AM – 12:30 PM
1:00 PM – 2:15 PM
2:15 PM – 3:30 PM
3:30 PM – 4:45 PM

For Regional Session Days, we follow a similar process. Once enough interest has been received in a geographic area, we work with participants and practitioners to establish a Session Day and then provide scheduling information for all confirmed participants.

Participants will select a time frame rather than a specific appointment time. Because each session typically lasts up to 60 minutes, exact start times may vary throughout the day. Time frames help create a smooth schedule while allowing flexibility for each horse-human partnership to receive the time and attention needed.

SIM Sessions currently serves clients in California, Texas, Virginia, and Arizona. We are actively expanding and welcome Session Requests from anywhere in the United States. Whether you’re interested in hosting a Session Day or participating as an individual, we encourage you to reach out regardless of your location.

Bringing SIM Sessions to new communities often begins with a single inquiry. Sometimes that starts with one horse-human partnership looking for support, and sometimes it starts with a barn interested in hosting a Session Day. Either way, we are committed to making SIM Sessions available to more equestrian communities and will work to coordinate opportunities wherever there is interest.

Our mission is simple: to make SIM Sessions accessible to as many horse-human partnerships as possible. By expanding into new regions and working with both barns and individual participants, we hope to share the benefits of this work with riders, horse owners, and equestrian communities throughout the country.

Travel

Travel Costs

Travel expenses are incorporated into Session Day planning and are shared among participating clients whenever possible. Because every location, travel route, and Session Day is unique, travel costs may vary. Any applicable travel costs will be communicated before booking so participants understand any additional fees in advance.

Minimum Participation Requirement

To provide SIM Sessions in a new area, a minimum of 5 sessions is required for a Session Day to be scheduled. This may be achieved through a barn-hosted Session Day or by combining requests from individual participants within the same region.

Joining an Existing Session Day

Whenever possible, we combine individual requests to create Session Days in a region. This allows participants to benefit from shared travel costs while maintaining the same session experience. The cost of the session itself remains the same, and travel expenses are already distributed among all participants scheduled for that Session Day.

There is nothing additional you need to do to be included. When you submit a Session Request, we track interest by location and work behind the scenes to coordinate participants, practitioners, and scheduling whenever possible. If an existing Session Day is available in your area, or if enough interest develops to create one, we will reach out with next steps and scheduling information.

Individual Participants

Do I Need to Haul My Horse Somewhere

It’s depends on where the session takes place. SIM Sessions are designed to meet you and your horse where you are. Whether at your home barn or another approved location, we strive to create the most comfortable and familiar environment possible for both horse and human.

Space

A quiet, peaceful environment where you can be relaxed and your horse can comfortably stand and move as needed is ideal. We are happy to discuss specific space requirements as part of the scheduling process.

More Than 1 Horse at the Same Location

Yes. Multiple horse-human partnerships can be scheduled at the same location as part of a Session Day. However, each SIM Session is conducted individually, with one horse and one human participant receiving the practitioners’ full attention at a time.

Horse Health

SIM Sessions are appropriate for most horses, regardless of age, discipline, or experience level. While certain medical or health conditions may prevent participation, many situations can be accommodated by adjusting the session to meet the needs of the horse and human. If you have questions about your horse’s specific circumstances, we encourage you to reach out before booking.

Group/Barn Days

Session Day Participation Requirements

A minimum of 5 sessions is required for all SIM Session Days, regardless of location. Whether we are serving a local community or traveling to a new region, this minimum helps support practitioner scheduling, travel logistics, and a meaningful experience for all participants.

Space Requirements

SIM Sessions can be adapted to a variety of environments. In general, we need enough space for a horse to comfortably stand, walk, and maneuver, along with a nearby area where the human participant and practitioner can work together. Sessions may take place outdoors, in an arena, or within a barn utilizing stalls and other suitable spaces.

Participation From Nearby Barns

Absolutely. Neighboring barns are welcome to participate in a Session Day. Horses may be brought to the host location, or, depending on the number and distribution of sessions, we may be able to incorporate additional nearby barns into the Session Day schedule. We are happy to explore options that make participation as convenient as possible for everyone involved.
